Project administration

My project will exceed the planned duration of two study periods. What do I need to do?

We recommend that you always stay in touch with your examiner and supervisor, especially if plans change.

If it is important that the project's registration in Ladok is extended (e.g., since you spend a significant amount of time in the next period), you can contact your master coordinator who will be able to re-register the project for the next period. This is however only possible at the beginning of the new study period (e.g., in August for Period 1).

If a certificate of studies is needed earlier than that (e.g., for residence permit, student loan, student apartment), then ask your examiner (or supervisor if it is a faculty) to issue a letter with the required information. In this case, please provide a check list with the required information if available.

I need a certificate of studies for SSSB, CSN, ...

Either you can ask your master coordinator to re-register the project for the next period, or your examiner can set up a short letter for this.

What should students keep in mind when communicating with examiners and supervisors?

Please keep in mind that many of us teachers who are involved in handling degree projects work together with many students from different programs nowadays. We recommend therefore to

always include the course code in the correspondence to help us find the correct Canvas room, rules, etc;
always include all relevant information that is necessary for answering your requests.

Assignments in Canvas

Why can't I find the upload for the assignments?

This usually happens if you are not logged in. If you see a key icon below the KTH logo in the sidebar to your left, you are not logged in.

Which assignments in Canvas are mandatory?

According to the course syllabus (kursplan) the following assignments are mandatory and need to be completed and documented in Canvas before passing the degree project:

How long in advance can we book a presentation?

As soon as you have come to an agreement with your examiner, you can make a post in the discussion items in order to look for an opponent.

Is there a deadline before the summer by which the presentation needs to be completed?

There are no administrative deadlines that need to be taken into account; it is the availability of the examiner that steers when you can present.

Who will set up the Zoom link for the final seminar and how?

The examiner of the presenting student is expected to provide a Zoom link. In order to generate a list of attendees, we recommend to require registration when the meeting is set up. If no external participants are expected, limit the attendees to KTH employees and students.

Who will announce the seminar and which information is needed?

The degree project coordinator will announce scheduled presentations. At the latest one week before the presentation, send an email to exjobb-is@eecs.kth.se with

Date and time
Title and abstract
Names of the respondent, opponent, examiner, and supervisor(s)
Link to the Zoom meeting

and we will add the presentation to the weekly announcements (see Announcements) and the Canvas calendar.

Do students need to ask for permission before being allowed to attend a degree project presentation?

Usually, this should not be the case. If an examiner requires this, the invitation to the presentation needs to clearly state this.

Finding and becoming an opponent

When can I serve as opponent?

Generally, students that are close to graduation should get higher priority. As a general rule of thumb, once you have submitted a first complete draft of your thesis to your supervisor you are definitively ready to do the opposition.

Can we propose an opponent?

Students are encouraged to find an opponent themselves. However, avoid that two students are both the opponent and respondent for each other. An exception is possible if only two students are planning to present in a given time period. Students who encounter problems in finding an opponent are welcome to contact the degree project coordinator, exjobb-is@eecs.kth.se.

Can I be the opponent of a student in another Master's program?

As long as you are qualified to give a competent review and the topic of the thesis is related to your program, this should be possible. To simplify administration, we however recommend that you stay within the programmes that are handled in this course room.

Templates

Is there a specific template for the presentation?

There is no specific template for the presentation, but you may want to ask your examiner and supervisor for their preferences.

Is there a specific template for the opposition report?

Different templates exist at the school, and the school is currently working towards a common template. A well structured template is for example provided by the CSC department

During and after the seminar

Can people from outside KTH attend presentations in Zoom?

Yes. In that case, keep in mind to open the Zoom link to external participants.

Who gets the opposition report?

Please send the opposition report to the respondent with cc to the examiner and supervisor, and upload it in Canvas.

Who approves the opposition?

The examiner of the presenting student approves the opposition in Canvas. The easiest way is to go through Grades and to approve the assignment Review of Another Student's Second-Cycle Degree Project.

How is seminar attendance documented?

The examiner of the presenting student approves seminar attendance in Canvas based on the list of attendees from Zoom (see above). The easiest way is to go through Grades and to approve one of the following two assignments:

Note that they appear in the GradeBook right next to each other, and you will see which one to click and approve.

Do we still/also need to keep the paper certificate for seminar attendance?

We recommend to entirely use the Canvas assignments

for documenting the seminar attendance. If students have a paper certificate with some signatures on it, they are welcome to send it to the degree project coordinator, exjobb-is@eecs.kth.se., who will then approve the Canvas assignments.

How do I generate a thesis cover page?

Follow this link, and leave the TRITA number open when you create the cover page. The TRITA number will be generated and added by education support after submission of the report.

Where do I find a template for the self evaluation?

The self assessment is implemented as a Canvas quiz, Self-Assessment Report.

If you, your supervisor, and your examiner have agreed to use another format (e.g., the self-evaluation for developed at CSC, download here), then you can use the first quiz question to upload the file.

How is the final grade reported?

All degree projects are reported by e-mail from the examiner to education-support@eecs.kth.se with the following information:

the final pdf-file of the report
if the degree project has a title in Swedish, an English translation is needed
the student's name
course code
grade and examination date
