Virtual Poster Session (May 20)

Plan for the Virtual Poster Session:

We will divide all the groups into subsets and each subset will have its own zoom meeting (see "Assignment  of groups to TAs and zoom meeting" section below). Each meeting will be chaired by a TA. The video presentations will be shown by the TA by sharing his/her screen and thus the TA will have to have access to the video for everyone's presentation (see "Make your group's video available to your assigned TA" section below for more details).

On Wednesday:
Phase 1 (view presentations in smaller groupings):
  1. Presentations will begin at 11:00 sharp
  2.  Your meeting will start at ~10:50, please ensure at least one member of your group is present at this time to help with any potential trouble shooting. The TA will give instructions and a running order for the presentations.
  3. Mail your assigned TA before the meeting if you have a valid request for when you want to present.
  4. Video presentations will be between 5-6 minutes long.  Thus we will allow ~2-3 minutes for questions (mainly from peer review group) and aim to be finished by 12:20 at the latest.
  5.  You will answer a poll to vote for the best project in your subset
12:20-12:45 BREAK

Phase 2a: (semi-final stage for best project)
16 projects will make it to the semi-final stage. There will be 4 projects in each semi-final.
  1. The semi-final stage will begin at 12:45. You will attend the same zoom meeting as in Phase 1.  You will watch the 3 videos from the other subsets that made it to the semi-final from your branch of the draw. We will not make you re-watch the video from your subset that made it to the semi-final.
  2. Once again you will vote for the best project from your semi-final and we will aggregate votes across the meetings in the branch to get the 4 projects making it to the final.

Phase 2b
:
The final for the best project award:
  1. Start time (13:15?)
  2. Here everybody will join one big meeting and we will show the videos of the 4 best projects as voted by the class.
  3. You will vote for the best project.
  4. Aim to finish by 14:00

 

Assignment  of groups to TAs and zoom meeting

For the Poster Session each project group has been assigned to a zoom meeting chaired by a TA. Please check which zoom meeting you have been assigned to. The meeting will start at 10:50.  (zoom links will be added when I get them from the TAs. If there is no zoom link by Wednesday morning, send me an e-mail). Please double check this information on Wednesday morning as there may be last minute changes.

Make your group's video available to your assigned TA

  1. If you have recorded your video via Canvas then you don't have to do anything unless your video does not have your group's number in its filename If it does not have the number please mail the TA with your group number and the filename of your video.
  2. If you did not use Canvas to record your video then please send a link (such as a youtube link etc) to the TA where they can access the video.
